Fee Refund Policy
Fee Refund & Admission Cancellation Policy Manual — Academic Session 2026-27. Approved by Dr. Ramesh Prakash Verma (Principal).
1. Purpose
This policy is based on the UGC fee refund guidelines and is adopted by Shiv Narayan Smarak Mahavidyalaya to ensure fair and transparent processing of fee refunds and admission cancellations.
2. Scope
Applicable to all admissions at Shiv Narayan Smarak Mahavidyalaya, unless superseded by applicable law or university regulations.
3. Definitions
- Admission — Enrolment of a student in a programme after payment of fees.
- Student — A person admitted to any programme at the college.
- Refund — Return of fee amount as per the schedule below.
- Cancellation — Withdrawal of admission by the student.
- Processing Fee — Deduction from refund as per the applicable percentage in the refund schedule.
4. Refund Policy
Refunds shall be processed according to the institutional schedule derived from UGC guidelines:

| 80% | Up to 15 days after the last date of admission |
| 50% | 15–30 days after the last date of admission |

5. Admission Cancellation Procedure

Target processing time is 7–15 working days after Principal approval.
8. Roles & Responsibilities
- Student — Submit complete application with documents.
- Office — Verify documents and forward to Principal.
- Principal — Approve or reject refund applications.
- Accounts — Process bank transfer and maintain records.
9. Student Rights
Every student has the right to apply for fee refund as per this policy and to receive a written response regarding the status of their application.
10. Grievance
Students dissatisfied with a refund decision may submit a written grievance to the Principal. For statutory grievance redressal, visit the Student Grievance Portal.
